Candidate means applicants for any roles advertised or promoted by FinRisk Square or individuals who FinRisk Square reasonably considers would be interested in being considered for any roles, including permanent, part-time, and temporary positions and freelance roles with FinRisk Square’s Clients (including those individuals who want to, or who FinRisk Square reasonably considers may want to, become Temporary Workers); as well as people who have supplied a speculative CV to FinRisk Square, not to a specific job


Client means our customers, clients, and others to whom FinRisk Square provides services in the course of its business or whom FinRisk Square reasonably considers would be interested in our services. In certain circumstances, 


Prospective Candidate means individuals with whom FinRisk Square has not had prior contact but whom FinRisk Square reasonably considers would be interested in our services and, in particular, in being considered for any roles advertised or promoted by FinRisk Square, including permanent, part-time, and temporary positions and freelance roles with FinRisk Square’ Clients.


Recruitment Process Outsourcing (RPO) services mean full or partial outsourcing of the recruitment process for permanent employees to a recruitment provider.


Suppliers refer to partnerships and companies (including sole traders), and atypical workers such as independent contractors and freelance workers, who provide services to FinRisk Square. In certain circumstances, FinRisk Square will sub-contract the services it provides to Clients to third-party suppliers who perform services on FinRisk Square’s behalf. 

Personal data means data about a living individual who can be identified from those data (or from those and other information either in our possession or likely to come into our possession).

Permission data means the data to which the website or application will have access according to our policy.

Usage Data is data collected automatically either generated using Service or from the Service infrastructure itself (for example, the duration of a page visit).

Candidate data: 

In order to provide you with the most suitable employment prospects, we must process certain information about you. We only request information that we believe will help us in providing assistance to you, such as your name, age, contact information, education details, employment history, emergency contacts, immigration status, financial information (where we must conduct financial background checks), and social security number (and of course, you may choose to share other relevant information with us). If necessary and under local laws and procedures, we will also gather information about your health, diversity, and criminal convictions.

Prospective candidate data:

If we think you might be interested in or might benefit from, our services, we will collect and use such information about you to assess how we might be able to help you out and to get in touch.

Temporary worker data: 

If we employ or engage you directly as a Temporary Worker, we must process additional information (beyond that received from Candidates) to guarantee a seamless Temp Relationship. We only collect essential information, such as employee identification numbers or other identifiers, start dates, bank account information, and past compensation, pension, and benefit arrangements. Where appropriate and in accordance with local laws and requirements, we may also collect, by inference, information related to trading union membership, sexual orientation, and child care or carer arrangements when you provide information about salary deductions for trade union membership or childcare vouchers or information about your emergency contact.

Client data: 

If you are a FinRisk Square Client, we need to collect and use information about you, or individuals at your organization, in the course of providing you or offering you services such as (i) finding Candidates who are the right fit for you or your organization; (ii) providing you with a Managed Service Provider (« MSP ») program (or assisting another organization to do so); (iii) providing you with Recruitment Process Outsourcing (« RPO ») services (or assisting another organization to do so); (iv) providing services to your employees, such as training courses to teaching staff who work for our Clients, in the education sector and/or (v) notifying you of content published by FinRisk Square which is likely to be relevant and useful to you.

To the extent that you access our website or click-through any links in an email from us, we will also collect certain data from you. 

Supplier data: 

We need a small amount of information from our Suppliers to ensure that things run smoothly. We need the contact details of relevant individuals at your organization so that we can communicate with you. We also need other information such as your bank details so that we can pay for the services you provide.


People whose data we receive from candidates and staff, such as referees, emergency contacts, and dependants: 

To provide Candidates with suitable employment opportunities, to provide for certain eventualities for them and our Staff, and to allow Staff to access certain benefits or employment rights, we need some basic background information. We ask for very basic contact details so that we can get in touch with you either for a reference or because you’ve been listed as an emergency contact or a dependent for one of our Candidates or Staff members.

We may use your Data to contact you with our services or promotional materials and other information that may be of interest to you. You may opt-out of receiving any, or all, of these communications from us by following the unsubscribe link.

When it appears likely that you will be offered the job, your prospective employer may wish to confirm any information you’ve provided (such as the results of psychometric evaluations or skills tests) or to confirm your references, qualifications, and criminal record, as appropriate and in accordance with local laws. We must accomplish these things so that our business can generate a profit and so that we can assist you and other deserving Candidates in obtaining employment.


To aid you in your job search, we wish to present you with individualized job recommendations and relevant articles and other materials (including marketing materials) to read. Therefore, we deem it legitimate to analyze your data and employ profiling techniques to provide you with the most relevant material and uncover the best prospects for you. If you have the time, we also believe that participating in our specialized online training or other of our more interactive offerings could be beneficial to your job hunt. We must ensure the proper operation of our firm to continue delivering services to Candidates like you. Data on prospective candidates:

We believe it is reasonable to assume that you are seeking employment opportunities if you have posted your professional CV on a job board or professional networking site and that you consent to our collecting and otherwise using your personal data to determine whether we can offer or provide our recruitment services to you, and to contact you regarding those services.


Temporary worker data:

If we directly hire or engage you as a Temporary Worker, we believe the following to be non-exhaustive examples of processing actions that are in our legitimate interests to perform in order to establish a successful Temp Relationship: if applicable to your jurisdiction, for our internal administrative purposes, such as supporting payroll and billing operations; setting the conditions of your employment during your Temporary Relationship; keeping a record of assignment start and end dates, hours worked during assignments, and (in some jurisdictions) any promotions, salary increases, or incentives you get; providing or receiving feedback on your assignment; and


Client information:

In order to offer you the best possible service, we save your personal information and/or the personal information of individual contacts at your company, as well as records of our interactions, meetings, registered jobs, and placements.
